A Punta Cana concierge brief for travel advisors and personal assistants
Use a clear trip brief and responsibility matrix to coordinate Punta Cana transfers, villa services and experiences for clients, families and executive travelers.
For travel advisors, personal assistants and executive assistants coordinating on behalf of a traveler.

The practical answer
Send a concierge brief with dates, accommodation, group composition, service priorities, budget framework and the person authorized to approve changes. Keep sensitive documents separate. Request an itemized proposal and a responsibility matrix so the advisor, property manager and suppliers know which details they own.
| Decision | Typical role to identify | Confirmation to record |
|---|---|---|
| Villa access | Property manager | Provider and visitor permission |
| Budget or changes | Authorized traveler or assistant | Approval threshold and currency |
| Service delivery | Named supplier | Scope, schedule and terms |
| Itinerary updates | Lead coordinator | Current version and affected contacts |
Define the coordinator’s scope
A traveler may already have accommodation, a preferred driver or an existing property contact. Start by identifying what is booked, what is only discussed and what still needs arranging. Say whether the concierge request covers the whole stay or a defined set of gaps.
Avoid assuming one point of contact means one contracting supplier. A charter operator, property manager and chef may each have separate conditions. Ask the coordinator to identify the responsible provider and applicable terms for every confirmed service. This preserves a simple client experience while keeping the operational responsibilities clear.
Use a brief that suppliers can actually price
Include travel dates, accommodation status, adults and children, arrival groups, requested services and preferred timing. Describe outcomes instead of relying on adjectives: ‘a quiet villa dinner for ten with table service’ is more usable than ‘an ultra-luxury night.’ Distinguish essential requirements from preferences that can change.
Provide an approximate budget in a named currency if the client permits it, and say which costs it should cover. A whole-stay budget should specify whether accommodation, transport, meals, outings and taxes or service charges are included. Do not share payment credentials in the brief; use the verified provider’s appropriate payment process.
- Dates, property status and location
- Adults, children and relevant suitability requirements
- Booked services and existing supplier contacts
- Requested services with preferred dates and durations
- Essential requirements versus flexible preferences
- Budget, currency and approval contact
Create a responsibility matrix
For each service, record who proposes it, who approves it, who contracts it and who communicates changes. For example, a property manager might approve access while the assistant approves the cost and the chef confirms the menu. Naming these roles prevents a provider receiving contradictory instructions.
Choose one person to maintain the current itinerary. Use version dates and circulate changes to the affected suppliers, rather than sending a fresh full itinerary to everyone for each minor adjustment. When an arrival changes, check the consequences for the transfer, property access, grocery delivery and first meal together.
Share details on a need-to-know basis
An initial inquiry usually needs enough information to assess feasibility, not identity documents or sensitive itineraries. Describe broad privacy or security requirements without publishing names or movement details unnecessarily. If a licensed specialist or other verified provider needs additional information, agree an appropriate private channel first.
Confirm who may contact the traveler directly and who should communicate through the assistant. The service proposal should state any communication expectations that materially affect the arrangement. Do not assume that discretion means an unverified confidentiality agreement or a particular data-retention policy; ask for the actual terms where those are required.
Deliver a concise handover pack
The final pack should separate confirmed bookings from pending requests. Give the traveler the information needed on the day: pickup instructions, relevant contact, property access details, scheduled services and anything they must bring. Keep detailed commercial terms accessible without burying the day’s instructions inside them.
Ask for a final reconciliation of inclusions, payment status and outstanding approvals before the trip. For each outdoor experience, note the responsible operating decision-maker and the agreed alternative process. Do not label an itinerary ‘fully arranged’ while essential supplier, access or payment details remain unresolved.
Questions before you arrange it
Can an assistant request arrangements for a traveler?
Yes. Identify your role and who may approve costs or changes. Share only the information required to assess the initial request.
Does one inquiry create a booking?
No. Availability, provider details, scope, terms and any required payment must be confirmed before the service is treated as booked.
Can you guarantee confidential executive protection?
No such guarantee is made here. Security requests require a suitably licensed provider and explicit agreement on scope and communication. Do not submit sensitive itinerary details in the public form.
