The practical answer

Confirm property permission, kitchen equipment, dining capacity and each person's responsibilities before approving a menu. A private chef quote should distinguish cooking, ingredients, serving, rentals and cleanup. Send current kitchen photographs to the proposed provider so the menu can be matched to the actual facilities.

Verify the kitchen the chef will actually use

Ask the property manager for recent photographs of the cooking area, refrigeration and preparation surfaces. Tell the chef about the guest count and proposed menu so they can specify the equipment needed. A large dining table does not establish that the kitchen can deliver a complex meal for the same number of guests.

Confirm the availability and condition of ovens, burners, cookware, knives and small appliances required by the provider. Ask whether any equipment will be brought in or rented and how that affects the quote. Leave technical suitability and food handling decisions to the responsible professionals rather than guessing from a listing photograph.

  • Current photographs of kitchen and preparation space
  • Appliances and cookware required by the menu
  • Refrigeration and ingredient storage arrangements
  • Indoor or covered dining capacity
  • Tableware, glassware and serving utensils
  • Any rentals, deliveries and collection times

Separate cooking from hosting the dinner

Clarify who sets the table, serves courses, pours drinks, clears dishes and cleans the cooking area. A chef working alone may quote a different service from a staffed dinner. Ask how many people will work, their roles and their start and finish times.

Agree which tasks belong to the villa's existing staff and whether the manager approves extra work. Do not assume a housekeeper will stay late or handle event cleanup. If the dinner includes guests who are not staying overnight, confirm the property's visitor limits and permissions first.

Give the menu a workable brief

Send the number of adults and children, preferred meal style and any dietary restrictions. Distinguish severe restrictions from preferences and discuss ingredient handling directly with the provider. Ask how ingredient availability affects the final menu and when substitutions need your approval.

Consider the serving format as well as the dishes. A family-style dinner, individual courses and a buffet need different equipment and staff. If guests return from an outing before dinner, allow time to settle and agree how a late arrival changes service. A menu should fit the group's evening, not just look attractive on a proposal.

Approve the complete dinner scope

Read the proposal for ingredients, labor, transport, tableware, rentals, drinks and cleanup. Ask for the currency, payment timing, change deadline and cancellation conditions. Where groceries are charged separately, establish receipts and the spending cap before shopping.

Name the person who admits the team and the person who approves extras. After dinner, agree how the kitchen is handed back, where rentals remain and who collects them. These modest details help the evening finish well and prevent a second supplier arriving to find the property unprepared.

Questions before you arrange it

Does a chef bring all the equipment?

Not automatically. Send kitchen details and ask for an explicit equipment list, including anything rented or brought by the provider and any additional charge.

Is this different from the chef pricing guide?

Yes. This checklist addresses property readiness and service responsibilities. The chef planning guide explains meal formats and quote comparison; use both before confirming a dinner.
